BCD Travel Meeting Coordinator in Canada

REMOTE POSITION; BASED IN CANADA

JOB SUMMARY:

The Meeting Coordinator is responsible for supporting the client and the Operations Team with the execution of successful meetings and events while maintaining a high level of customer service. This position will be responsible for providing guidance to clients on our services and qualifying all meeting requests. The Meeting Coordinator is also responsible for closing and reconciling files, preparing final bills, managing the commission process, data integrity and other project accountant and data analyst duties. Nametag and tent card coordination and creating is also the responsibility of the Meeting Coordinator.

This position supports one (1) client

RESPONSIBILITIES INCLUDE:

  • Consult directly with client on meeting requirements
  • Strong knowledge of the Canadian Hotels and meeting venues
  • Research and select hotels/venues that support the meeting requirements
  • Work with hotels/venues to clarify responses to meeting requests
  • Prepare hotel/venue response comparison grid to assist client with decision process
  • Create requests for proposals (RFPs) in web application (Cvent)
  • Manage and create RFP's for ancillary services (DMC, Production, Catering, etc.)
  • Negotiate final deal and contract with hotel

QUALIFICATIONS:

  • Strong negotiation skills and understanding of contract requirements
  • 5+ years experience in a similar role

  • Strong research and analytical skills

  • Excellent verbal and written communication skills
  • Ability to participate in site inspections; able to travel when necessary
  • Strong project management skills
  • Bi-lingual French/English preferred
