Job Description

Gilead Sciences, Inc. is a research-based biopharmaceutical company that discovers, develops, and commercializes innovative medicines in areas of unmet medical need. Reporting to the Executive Director of Scientific Communications, this person provides administrative leadership and support to a large, highly matrixed organization.

Key Responsibilities:

Day-to-Day Management:

  • Manage calendar for Head of Scientific Communications.

  • Maintain confidentiality and sensitivity in handling documents and information.

  • Process expense reports, compose correspondence, and format documents as needed.

  • Process accounting requests, including purchase orders, vendor setups, and invoice processing.

  • Track budgets, invoices, and reconcile financial data in collaboration with finance.

  • Ensure adherence to compliance standards and company policies in all administrative tasks.

  • Prioritize workload involving multiple large projects/timelines.

Team Support:

  • Schedule high-level meetings and workshops.

  • Collaborate with Admin Coordinators across Medical Affairs to ensure cohesive support.

  • Provide logistical support for departmental meetings and events.

  • Assist in organizing team events and special projects.

  • Support team onboarding processes as needed.

Meeting Planning and Coordination:

  • Assist in meeting logistics, including room reservations, technology setup, and catering arrangements.

  • Maintain internal portals and documentation related to meetings and projects.

  • Coordinate large events which includes the planning, organizing and implementation of a number of event activities.

Knowledge, Experience, and Skills:

  • Possesses the ability to multi-task activities with significant business impact and prioritize effectively with minimal direction in the face of ambiguity.

  • Demonstrates strong judgment in appropriately dealing with sensitive and confidential information.

  • Effectively organizes team resources around top priorities and influences to get things done.

  • Strong business acumen and demonstration of business knowledge

  • Anticipates business needs and identifies focus areas in support of business objectives Exercises discretion to make decisions on behalf of the leader/organization on areas of influence.

  • Acts as a team player who collaborates and networks both within and outside of specific site/function/geography.

Education Requirements:

Requires a minimum of a high school diploma and 6+ years of administrative experience.

The salary range for this position is: $107,270.00 - $138,820.00. Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
